Privacy Policy
Notaría Latina — Notary Public in the United States
This Privacy Policy sets out how Notaría Latina protects the information its users provide.
It applies to all entities of the Notaría Latina group, which include Notaría Latina Pública Corp, Notaría Pública Latina LLC and Notaría Latina Corp (hereinafter "Notaría Latina", "we", "us" or "our").
We are committed to keeping our users' data secure. This Policy may change or be updated over time, so we recommend that you review this page periodically.
Information we collect
We collect the information you voluntarily provide to us, for example:
- First and last name
- Phone number
- Email address
- City or area of residence
- The specific information needed to process the service you request
We never collect sensitive information that is not strictly necessary for the requested service.
If you use the Notary Assistant (the chat on our website), we store the messages of the conversation, the contact details you choose to leave in the chat form or write in the conversation (name, phone number, email address and the service you need), and basic technical data: the page you write from, the language, your approximate country and the type of device. The chat's answers are generated by an artificial intelligence system for informational purposes and do not replace the advice of a notary. Please do not share identity document numbers, banking details or other sensitive information in the chat.
Information collected through social media and advertising
In addition to our website, we collect information you voluntarily provide through:
- Facebook and Instagram lead forms, when you fill in your details in one of our ads without leaving the social network
- WhatsApp or Messenger conversations that you start from one of our ads or from our official pages
In these cases we receive the details you enter in the form or share when you write to us: name, phone number, email address, city and your answers to the form's questions.
Meta Platforms, Inc. processes this data under its own privacy policy before transmitting it to us. We use this information solely to contact you about the service you showed interest in.
How we use the information
We use the information to:
- Contact you and start or follow up on the notarial service you requested
- Keep a record of requests and of the service provided
- Improve our services and customer care, including analyzing the topics asked about in the website chat
- Send you information about our services, promotions and news, always allowing you to unsubscribe at any time through the link included in each message or by contacting us
Who we share your information with
Notaría Latina does not sell, transfer or rent your personal information to third parties.
In order to provide our services, we share your data —only to the extent strictly necessary and under a duty of confidentiality— with providers that process it on our behalf:
- SMS messaging and telephone services, so that we can communicate with you
- Web hosting and cloud storage providers
- Internal management and customer service tools
- Artificial intelligence providers that generate the website chat's answers (currently OpenAI), which receive the messages of the conversation
- The advertising platforms through which you contacted us
These providers are not authorized to use your information for their own purposes.
We may also disclose information when required to do so by law, by a competent authority or by a court order.
Data retention
We keep the contact details of people who inquire without hiring a service for a maximum of 24 months from the last contact. Website chat conversations are automatically deleted 24 months after their last message, and visit records from our links page and scan records from our QR codes after 24 months.
Data related to services actually provided is kept for the period required by the applicable notarial, tax and record-keeping regulations.
Your rights over your information
At any time you may:
- Access the personal information we hold about you
- Correct any data that is inaccurate or out of date
- Request the deletion of your data (see the next section)
- Withdraw your consent to receive marketing communications
- Restrict the collection or use of your information
Whenever we ask you to fill in a form, you can check or uncheck the option to receive marketing information.
To exercise any of these rights, write to us at [email protected].
Data deletion
If you would like us to delete the personal data we hold about you, email us at [email protected] from the email address you contacted us with, or call us at 800-742-8602, stating:
- Your full name
- The phone number or email address you sent us your details with
We process the request within 30 days and confirm in writing once it is done.
We delete your name, phone number, email address, city and the answers you sent through our forms on the website, Facebook or Instagram, as well as the website chat conversations in which you left those details.
We keep only what the law requires us to keep regarding services already provided, for the period that regulation requires.
Cookies and tracking technologies
A cookie is a small file stored on your device. Our website uses cookies to identify the pages visited and how often, for statistical analysis.
Our website also uses third-party advertising measurement technologies, such as the Meta pixel and web analytics tools, which measure the effectiveness of our ads and show you relevant advertising. These technologies may record your interaction with the site and associate it with your profile on those platforms, in accordance with each platform's privacy policy.
On our links page for social media (notarialatina.com/links) we record visits and the buttons that are tapped, and when you scan one of the QR codes in our ads (for example, on outdoor screens) we record the scan before taking you to our WhatsApp. In both cases we store where the visit came from or which ad was scanned, the type of device and the approximate country, to measure the results of our advertising. We do not store your IP address.
You can delete or block cookies at any time from your browser settings. Doing so may limit the use of some features of the site.
